Event Report

Overview

  • The event ran very smoothly.
  • There were no real issues.
  • People were fascinated by the space concepts.
  • Running the event was not much extra effort, except for being present all weekend. Our space is already designed for people to gather. This time was a bit special because we had to create a new plan for the lab, restart the soldering workshops, check all our event equipment, and replace a few items.

What Went Well

  • Large name tags for space members were very helpful so people could ask questions.
  • The huge demo table at the entrance was a great eye-catcher.
  • We were included in the printed program. Many people came because of this, including families with children and those who wanted to try soldering for a long time. Visitors wanted to participate, not just look at art or performances at the event.
  • Outdoor decorations and another event in our yard helped attract people passing by.
  • There were always enough members on site, so everyone had the chance to visit other venues too.

Areas for Improvement

  • 3D printing should be partly moved outside the laser cube. Some people are hesitant to enter the box.
  • We could offer drinks, but this would require registration in advance and fixed prices.
  • If the weather is good, we should organize some activities outdoors.
  • Member commitment: We need more people to commit to being at the event and reliably organizing a small activity on their own.
  • The outdoor appearance of our space is a bit plain and could be improved with more decorations in general. Makes the preparation effort also much simpler. This could be a good follow-up project.
  • The demo table at the event, featuring 3D-printed and laser-cut items, was very successful. We should enhance our current demo presentation, making it more visually appealing. Anything that can light up or move should be set up to do so, to attract even more attention.

More points:

  • people loved the sticker boxes and were shocked when I told them that they can just grab a few. Maybe get some more variety for the next time?
  • Everyone loved the 3D prints! I got asked a couple times if we sell some of them. Children also would have loved to take something home. Maybe let's print some mini Benchys we can give away next time?
  • A lot of people asked if we do workshops which would be really nice if we could bring that back somehow. (Of course I told them about 3D Printing, CNC and Workshop safety).
  • A lot of parents would have loved to make their children members and were kind of disappointed when I told them it' 18+. Don't want to change that. It's more of a FYI.

Observations

Chain effect: When people sat and talked in front of the lab, more and more joined. Also, once one or two women started the soldering workshop, more quickly joined, and soon almost all spots were filled with women. That was good, because you realized that otherwise there is still an inhibition threshold. For children, it made no difference, which is great!

Steps to Organize the Event

  1. Find one person early to take the lead. This is important for communicating with the festival organizer.
  2. Set a rough, general program. The organizer needs this early and it gives a chance to get some funding.
  3. Register with the KVR.
  4. Create groups for each part of the event, prepare activities, and request any needed funding.
  5. Prepare the space.
  6. Run the event over the weekend.
  7. Clean up everything afterward.
  8. Share results on social media and write a report.

Program

Idea is to have a mixed program. The main part is just having an open day and be part of the Kreativquartier open, so that the visitor can have a look inside and see what we are doing. This can happen by just let people scroll around in the lab, but also about guided tours what we have similar to the open Thursdays. Next to that, it would be cool to offer some small Workshops or interactive parts in front of the lab and inside the lab. Since the Kreativquartier Open is a full weekend it would be good if we can arrange it also like a open Meetup for the members. So that there is "Life" in the lab and people are working also on their small (demo) projects. May you have something, that you wanted to repair since a long time or you have a nice demo project you can work on?
